2. Data processed
Within the fleet technical support service, the following data may be processed:
Identification and contact data: name, phone number and the organisation the user belongs to.
Content of contacts: written messages, voice notes, call recordings and transcripts.
Photos and videos sent by the user.
Location shared by the user.
Equipment data: identification, condition, faults and interventions.
3. Purposes
Providing technical support and logging assistance requests.
Routing each case to the technical team responsible for the equipment.
Keeping the technical history of the equipment.
Improving the quality and reliability of the service.
4. Legal basis
Processing is based on the performance of technical support service contracts and on the legitimate interest in ensuring the maintenance and operation of the equipment, under Article 6(1)(b) and (f) of the General Data Protection Regulation (GDPR).
5. Call recording and automated analysis
Calls may be recorded and transcribed; users are informed at the start of each call. Messages, transcripts and photos are analysed by automated systems, including artificial intelligence, for the sole purpose of structuring the assistance request. This processing does not produce decisions with legal effects on the user; the resolution of each case is the responsibility of the technical teams.
6. Retention
Data is kept for as long as necessary to provide the service. Contact records and technical history are kept for a maximum of 3 years after each case is closed, unless a longer period is required by law.
7. Recipients
Data may be disclosed to the entity responsible for the technical support of the equipment concerned and to processors providing telecommunications, hosting, messaging and artificial intelligence services, contractually bound to comply with the GDPR. Where a processor handles data outside the European Economic Area, the transfer is carried out with appropriate safeguards, namely standard contractual clauses approved by the European Commission.
8. Data subject rights
Data subjects may exercise their rights of access, rectification, erasure, restriction, portability and objection by writing to geral@motoratarefado.pt. They also have the right to lodge a complaint with the Portuguese Data Protection Authority, CNPD (www.cnpd.pt).
